The reason most businesses never get value out of something like this is not the software. It is that nobody has a spare week to load ten years of price lists, past submissions and accreditations, and check every figure against where it came from.

So we do that part. Fixed price, one week, and at the end of it your own documents come out of it in your own format on your own letterhead.

What the week is

Five days, and you are in the room for one of them.

  1. Before we start

    You send documents you already have

    Your price list or schedule of rates, five to ten documents you have written — past submissions, quotes, reports, claims — plus your insurances, accreditations and a list of the projects you would put in a tender. Nothing has to be tidy and nothing has to be re-typed. If it is in a shared drive or an inbox, that is fine.

  2. Days one and two

    Your rates go in, verified line by line

    Every figure is checked against the source document it came from, then certified. Certified means something specific here: a draft that contradicts one of these figures is corrected before the model ever sees it, so a stale price cannot reach a document. Where two sources disagree we come back and ask which is right rather than picking one.

  3. Days two and three

    Your formats are reverse-engineered from your own work

    We do not hand you our template. We take the submissions and claims you have actually sent, work out the structure you use, and build that as a reusable format with the fields you fill in each time. The first draft you see is in your shape, not ours.

  4. Day four

    Letterhead, export and approvals configured

    PDF and Word export set up on your letterhead before you are shown a single draft. An approver group set so the contracts manager signs what the estimator drafts, and one narrow rule armed on the estimating or contracts inbox. One rule, never five — five rules on day one is how a business decides the thing is unpredictable and turns it off.

  5. Day five

    A working session, on a real document

    We sit down and produce something you are actually sending this week, and you tell us where the wording is wrong. That session is where the voice stops being approximately yours and starts being yours. You leave with the document, and with the ability to make the next one without us.

The honest bit

What a rollout does not do.

It does not make it autonomous

Nothing is ever sent, signed or submitted without a person reading it first. That is structural, not a setting you can turn off, and it is the reason it can be pointed at a real inbox at all.

It does not import your job system

There is no connector to simPRO, AroFlo, ServiceM8, Procore or Xero, and none is planned. Your job system keeps owning the job; this writes the documents it was never built to write.

It does not invent what you cannot evidence

If your accreditation lapsed or the project you want to cite has no reference, the draft flags it rather than writing around it. Some people find that annoying in week one. It is the whole point in month six.

What people ask before booking one.

Who actually does this work?

The founder, personally, for the founding cohort. Not an onboarding queue and not a partner's delivery team. That is a deliberate constraint on how many of these can run at once, and it is the reason the cohort has a number on it.

How much of our time does it take?

Roughly a day, spread over the week. Most of it is handing over documents you already have, plus one working session at the end. The verification work — checking every rate against its source, reverse-engineering your formats — is ours and does not need you in the room.

What if our price list is a mess?

It usually is, and that is not a blocker. Spreadsheets with merged cells, a supplier PDF, three versions with different dates — that is the normal starting state. What we will not do is guess: where two sources disagree, we come back and ask, because a figure nobody confirmed is worse than no figure at all.

Can we try it before committing to the full build?

Yes, and most people do. The A$1,500 Single-Tender Engagement is one real submission, end to end, on a tender of your choosing — and it is credited in full against the build, so if you go ahead the build costs A$1,000 instead of A$2,500 and the trial cost you nothing.

Do you need access to our job management system?

No, and we would decline it. There is no connector to simPRO, AroFlo, ServiceM8, Procore or Xero and none is planned. What this needs is your price list and your past documents, which export from anywhere. Your job system keeps owning the job.

What happens to the documents we send you?

Uploaded files are deleted within 24 hours of being processed. What persists is the certified rate tables and the written profile, in your own account, which you can read, correct and export in full at any time. Nothing you send trains anyone's model. What does it cost to keep running afterwards?

A$690/month for 8 seats, or A$490/month on the founding rate held for 12 months. The build is a one-off and is not a deposit against the subscription. Cancel the subscription and the library is still yours to export.

We are not a subcontractor. Can you still set it up for us?

Yes. The week above is written around bidding and claiming because that is where most of this demand comes from, but the same engagement works for any business whose documents are worth building properly — a practice, an agency, a manufacturer. Tell us what you write and we will tell you honestly whether the self-serve plans would do the job instead.
